Templates

Create Accounting Templates - Fields and Templates

Templates are collections of rules for a set of event types. These rules determine how information from an accounting event and its associated positions should be captured and displayed in the output of data.

An example of a template for a loan could be "internal loan" or "Swedbank loan" if you have different account numbers for different counterparts. Other examples of templates could be "Not booked," "Green bond," "Owner loan," etc.

Each position type has its own list of templates. You name the templates, and this image also shows how many positions use that specific template. For example, the template Bond is used by two positions.

If I have more than one template for a position, I use the drop-down list to browse between them.

On each position, you can choose to either edit a template you selected from the drop-down list, archive a template, or create a new template.

When choosing to create or edit a template, you have the opportunity to specify a name and indicate which events should contain which accounting rules.

You can create rules for:

  • Series
  • Company
  • Voucher text
  • Transaction text
  • Account
  • Accounting object
  • Account (Debit)
  • Account (Credit)

There are five choices to make per rule, i.e., to choose the type of information to be fetched to that place in the file:

  • Position
    • Fetches information from the position
      • Case number
      • Name
      • Reference number
      • Other information
      • Counterparty
      • Counterparty ID
      • Owner ID
      • Owner name
      • Type
  • Field
    • The accounting objects you created under General Settings.
  • Event
    • Type
    • Date
    • Month
  • File
    • From date
    • To date
    • Year
  • Free text

For a rule, you may want more than one piece of information. You can link information if, for example, I want my transaction text to be the case number but also contain the event type, by clicking on the plus sign.

I then get another field for Transaction text to fill in, and a small box to choose how I want the separator between my two transaction texts.

In this case, I choose a hyphen and then specify the event and type.

So, my transaction text will now be:

[Case number on the position]-[Event type]

An example could be:

Ln012056-Payout

In summary, each unique set of instructions for a position type will be its own template.
